The Conflicts & New Business Intake Specialist will be responsible for conflicts and accounting-related assignments to ensure prompt, responsive service to the Firm and its clients.

Conflicts & New Business Intake Specialist Responsibilities:
  • Promptly address day-to-day Conflicts and New Business Intake issues and queries as they arise in an efficient and effective manner. Escalate issues and concerns as required to Conflicts and Accounting Management.
  • Manage NBI forms within Conflicts Search Manager.
  • Process client/matter effective dated updates in 3E.
  • Perform comprehensive corporate research using online tools to accurately determine corporate affiliations and relationships.
  • Review and vetting of potential lateral attorney hires.
  • Apply basic conflicts of interest under the Rules of Professional Ethics.
  • Analysis and approval of conflict’s reports.
  • Import new clients and matters into 3E with new attorney hires.
  • Generate departing attorney reports and update client/matter information.
  • Assist secretaries and attorneys with NBI questions or issues.
  • Perform semi-annual close of inactive matters.
  • Periodic review of open conflict searches to ensure compliance with firm standards.
  • Maintain data integrity for client and matter level billing addresses and collection addresses.
  • Backup to Conflicts and Conflicts processes.
  • Backup to entry and maintenance of New Client/Matter forms for the Firm.
  • Assists with Conflicts and Accounting questions and issues specific to Conflicts and New Business Intake firmwide.
  • Assist with Conflicts and Accounting special projects and additional requests from Conflicts and Accounting Management.

Conflicts & New Business Intake Specialist Responsibilities:
  • High School diploma or equivalent, required.
  • Ability to read, write and perform arithmetic computations at a level normally acquired through the completion of high school or equivalent.
  • Approximately two to three years of experience in a service-related field. Legal experience preferred.
  • Excellent proofreading, grammar, spelling and analytical skills a must. As well as the ability to independently think outside of the box.
  • Proficiency in the Firm's software and hardware including 3E (Elite), Word, 10-Key by touch, Outlook, Excel, and Photocopiers. Ability to type brief memos, letters and forms.
  • Ability to prioritize numerous tasks and complete them under time constraints, strong organizational skills.
  • Demonstrate responsiveness, tact, diplomacy, good judgment and confidentiality in communications with all levels of personnel, clients and outside vendors.
  • Strong commitment to the Conflicts and Accounting Departments as a customer service function within the Firm, and ability to operate effectively and cooperatively within the Conflicts and Accounting Departments to enable the departments to function cohesively and to provide excellent customer service within the Firm.
  • Interpersonal skills are necessary to communicate and follow instruction effectively from a diverse group of attorneys and staff and provide information with ordinary courtesy and tact.
  • Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties.
