The Business Intake Clerk performs conflict of interest searches, assigning client and matter numbers, performing data integrity and research tasks, as well as responding to the requests for information from internal and external customers.


Business Intake Clerk Responsibilities:  
  • This position reports to the Director of Business Intake Services and will require close interaction with all Business Intake Team members.
  • Responsible for performing conflict of interest searches, including corporate family tree research, use of natural language search terms and strong investigation skills.
  • Responsible for opening clients and matters using both Intapp workflow and Aderant Expert software tools.
  • Responsible for performing due diligence in conjunction with new attorney hiring.
  • Responsible for performing data entry of all new client and new matter fields in Aderant, as well as data integrity research and maintenance of the same.
  • Responsible for performing data changes within the Aderant and Intapp systems.
  • Responsible for researching mergers and acquisitions and making system changes that result.
  • Responsible for centralized tracking of firm contractual agreements with clients, including the extraction of key contractual elements into a specific tracking tool.
  • Responsible for client research in external providers databases such as Bureau van Dijk and Dun & Bradstreet, including cross-departmental assistance with that research, as well as auditing and updating prior such research.
  • Responsible for answering phone and email departmental inquiries and connecting customers with the appropriate resources to solve their problems.
  • Responsible for the recording and reporting involved in the centralized tracking of Client Engagement Letters, and well as Publicly Traded Client insider trading prohibitions.
  • Responsible for Semi-Annual matter clean-up assistance project work, amongst other projects.
  • Work with other Team members to help team to evolve, grow, and comply with deadlines and time sensitive issues.
  • Actively participate in all projects assigned to the Business Intake Team.
  • Clear communication with attorneys and secretaries to obtain and clarify information.
  • Other projects and duties as assigned.

Business Intake Clerk Requirements:
  • Associates Degree required. Bachelor’s degree preferred.
  • Prior legal training with knowledge of database search logic preferred.
  • 2 years of prior law firm or similar professional experience preferred.
  • Individuals must possess the following knowledge, skills and abilities, or be able to explain or demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodations through some other combinations of skills and abilities.
  • Knowledge of Word, Excel, Outlook and other Microsoft applications.
  • Experience or ability to learn Aderant Expert and Intapp Open.
  • Ability to perform basic natural language searches in Intapp Open, Bureau van Dijk, Dun & Bradstreet, Lexis-Nexis, Westlaw, Google or other resources.
  • Excellent customer service skills and telephone etiquette are mandatory.
  • Excellent verbal and written communication skills.
  • Supreme attention to detail and accuracy.
  • Knowledge of conflict of interest principles that includes the ability to define relationships and related parties within the Conflict of Interest system as well as the ability to interpret Bureau van Dijk and Dun & Bradstreet data for this purpose.
  • Proficiency in detailed online research.
  • Regular attendance and punctuality are essential functions of this job.
  • Possesses interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys, and staff and is a team player.
