The Administrative Assistant II is responsible for supporting the Contract Administration process. They will be the liaison between the contractors and the area operations personnel.

Administrative Assistant II Responsibilities:
  • Ensure compliance with Site Contracting Strategy and administrative requirements.
  • Monitor and support contractor adherence to contract obligations and administrative guidelines.
  • Participate in contractor reviews, variance creation, and package preparation.
  • Maintain weekly contractor schedules with input from both the company and contractors.
  • Present recorded Safety Orientation to contractors and ensure compliance.
  • Manage vendor profiles, requisitions, and purchase orders for site operations.
  • Verify receipt of services and process invoicing to ensure timely payments.
  • Maintain time sheets, material tickets, and documentation for ROS (Request for Service).
  • Track contract changes, cost savings, and support post-job evaluations.

Administrative Assistant II Requirements:
  • Bachelor's degree preferred with at least 2 years of relevant experience
  • Effective oral and written communication skills, the ability to present information to all levels in the organization and address external organizations.
  • Ability to develop and execute effective task planning.
  • Experience with programs such as; Microsoft Suite (Excel, Word, Outlook, One Drive, Teams, SharePoint, FileShare), purchasing systems (SAP/S2P), ISNetworld, Concur.
